As a Sales Coordinator, you will have to support the entire data entry of the sales and service process for the assistive industry in Germany. Starting from entering offers/quotes for the salespeople, communicating the different needed documents to workshops/Sanitätshaus, handling purchase orders for our different suppliers, entering and communicating sales orders, and communicating the documents for invoicing to finance, etc. As we expand, you might need to do commissioning of products, inventory, logistics (shipping and handling), etc.

Location: The warehouse/sales operations office is located near Feuchtwangen, Germany. Remote work from Frankfurt or Munich is possible.

MAIN RESPONSIBILITIES

As a Sales Coordinator, you will handle the incoming requests (they can come by email, phone and fax). You will support the planning of service and sales agendas.

  • Handle incoming inquiries and requests (telephone / emails / web / in person);
  • Handle the data entry, validation and conversion of our sales process. For example, enter quotes, sales orders, information for delivery and handle communication to the proper salesperson according to the region, etc.;
  • Support the Business Development Manager with insurance companies in doing follow-ups to accelerate the time-to-allocation of assistive technologies to users;
  • Organize, maintain, update, and coordinate Excel documents according to quotes, orders and delivery, and classify them in the appropriate location or communicate the information to the proper team;
  • Support finance (invoicing coordination, creating purchase orders, receivables, etc.);
  • Support the customer service team in the logistics of technical requests;
  • Help prepare reports on overall sales performance in Germany;
  • Support the Sales Director in establishing forecasts for sales/support and products procurement;
  • Link with the Marketing Manager for marketing needs, i.e. material and event requirements;
  • As a front-line contact, present a positive and professional image of the company to any visitor and suppliers;
  • Execute good practices and data accuracy in our CRM system;
  • Other related tasks.

POSITION REQUIREMENTS

  • College Studies Diploma in finance, administration, office or related field;
  • 3 to 5 years of experience as an executive assistant or similar;
  • Excellent knowledge of Microsoft Office (advanced Excel) and Google Suite;
  • Organized, resourceful, adaptable;
  • Solution-driven, autonomous;
  • Openness and curiosity about the different systems to be used;
  • Ease of adaptation to a fast work environment;
  • Performing well under pressure;
  • Working on a flexible schedule;
  • Bilingualism (German, English, and French are strong assets).
